Proof of service is the evidence that explains what a waste hauler did at a specific site and time. A completion status alone is weak. The useful record combines the job, asset, person, place, evidence, and any exception in a form the office can retrieve quickly.

For a delivery: Was the right container placed at the correct site and in the approved location? Capture the individual asset, a wide placement view, and a timestamp. Add a signature or named approval when the site requires it.

For a swap: Which container left and which arrived? Capture both asset identities, the site, and the completed exchange. A single close-up of one serial number cannot explain the full move.

For a pickup: Was the container accessible, removed, and no longer at the site? Capture the asset before movement when condition matters, then record the completed pickup and destination path.

For recurring service: Was the service performed at the right unit? Record the unit or location and the service result. If it was skipped, record why.

For a failed attempt: What prevented service, when did the driver arrive, what evidence supports the reason, and who owns the next action?

Design the photo sequence

Ask for photos that have a job, not "take several pictures." A concise sequence is easier for drivers and more useful later.

  1. Identity view: asset number or a durable visual identifier when safe and legible.
  2. Context view: enough of the site to recognize the placement or access condition.
  3. Condition view: damage, contamination, overfill, blocked access, or another issue that changes service or price.

Avoid collecting faces, license plates, neighboring properties, or private details that do not help prove the service. Retention and access should follow the operator's policy and applicable customer or legal requirements.

Photos and notes captured on site should remain attached to the job record. Exact unit placement should also be recorded, including more than one unit at a location. That association is what turns an image into retrievable evidence.

Collect only the visual and location data needed for the service record, limit who can access it, and set a retention rule. The Federal Trade Commission recommends minimizing personal data and restricting access to people with a legitimate business need.[4]

Use signatures selectively

A signature is useful when a person must acknowledge delivery, placement, completion, condition, or a charge. Capture the signer's printed name and role with the signature so the office knows whose mark it is.

Do not require a signature when nobody authorized is expected to be present. Build an alternate proof path such as a site photo, recorded approval, and automatic customer notice. Otherwise drivers will invent workarounds that weaken the record.

Treat GPS as supporting evidence

GPS can help confirm that a device or vehicle was near the recorded site. Accuracy can vary with hardware, signal, buildings, and device settings. Preserve the recorded coordinates, time, and source, and avoid describing the point as more precise than it is.

The U.S. government's GPS information service makes the same distinction: user accuracy depends on satellite geometry, signal blockage, atmospheric conditions, and receiver quality, and it can worsen near buildings, bridges, and trees.[3]

The strongest use is reconciliation. Does the location agree with the assigned site, route sequence, photo context, and driver timestamp? If it does not, flag the record for review rather than silently overwriting it.

Keep exceptions open until someone decides

Blocked access, unsafe conditions, contamination, wrong material, missing container, customer refusal, and facility closure are operational outcomes. They should not be squeezed into "complete" or disappear in a free-text note.

A driver workflow can add fees, overages, and additional services at the stop so the office can review those items before they flow into an invoice. That reduces re-entry, but the control still matters: billable items should be named, supported, and reviewable.

If a customer questions the invoice, staff should not send a raw photo dump. Present the service date, job, asset, event, evidence, relevant term, and calculation in a short sequence.

People make mistakes. A driver may select the wrong asset or reason. Let an authorized person correct the record without erasing the original value, who changed it, when, and why.
